The Data retention period refers to the duration for which your data is stored on our server and is available for analysis. It defines how long you can access and use the data to build and analyze reports. After the data-retention time period has expired, the data is permanently deleted from our server and we cannot recover it.
There are two types of data we store in UXCam and both types may have different retention periods.
- Data retention : Refers to all your users and sessions data (used for all the analytics functionalities)
- Video Retention: Refers only to the video recording of the user session.
Data retention is calculated from the moment in which a session is uploaded to our servers. If your plan has a data retention policy of 3 months and a video retention policy of 1 month, the following will happen for a session recorded on December 1st, 2023.
- Data retention: The session's quantitative data will will be deleted on March 1st, 2024.
- Video Retention: The session's video will be deleted on January 1st, 2024.
When and how is the data retention period defined?
The data storage period is defined by the subscription you purchase which specify how long your data will be stored and accessible. Different subscriptions offer varying data retention periods.
- On the Free-plan, we store data for up to 6 months.
- On the Growth-plan, we store data for up to 12 months. You can upgrade to extend this period.
- On the Enterprise plan, we store data for up to 60 months.
Where can I see how much data retention I have?
You can find information about your data retention period on the subscription page of your account. Click on your name at the bottom left corner > Subscription
Why do I see a message that my data is incomplete?
This message is shown to clarify that the selected date range for analysis extends beyond your data storage period. In essence, you are trying to analyze a time frame for which part or all of the data is no longer accessible in UXCam. You can still save and analyze your report, but please keep in mind your data storage period when analyzing the graph.
What date range should I select in my report to not see this message?
To prevent the message about exceeding your data retention period, check your data retention period (e.g., 3 months). Calculate what date is three months back, and make sure your report only includes data that falls within this period. Data before that date has been removed from UXCam and no longer exists in UXCam.
What's the impact on retention analytics and other reports?
If you select a time range outside your data retention period, you may encounter incomplete or missing data in your reports.
Why do I still see data after disregarding the message and creating a report?
You may still see data that falls outside your data retention period but this is typically limited to very few data points and can easily be noticed compared to your actual accurate data. You might encounter isolated data points, like 1's and 2's, in your reports.This can occur due to the way data is stored.
The data retention period is determined by when sessions are uploaded, not when the sessions originally occurred. However, retention reports are constructed based on the time when the user returned for an activity, not when the session was uploaded.
In rare scenarios, such as when there are internet connection issues, a session's data might have been initially stored locally and then uploaded at a later time, fitting within your defined data retention period.
For instance, consider a situation where you have a data retention period of 1 month, and today is the 1st of October. In the usual course, you shouldn't be able to see data that occurred before the 1st of September. However, if a session occurred on the 31st of August but was uploaded on the 1st September due to internet issues, it would be counted within your retention period, even though the actual activity happened outside of your retention period.
How can I upgrade to include more data retention?
